Introduction

Echo Notes ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application ("App"). Please read this Privacy Policy carefully. If you do not agree with the terms of this Privacy Policy, please do not access the App.

Information We Collect

Information You Provide

  • Meeting Data: When you create recordings, we store meeting information including titles, dates, durations, transcriptions, summaries, tags, and key points locally on your device.
  • Audio Recordings: Audio files are recorded and stored locally on your device. You can choose whether to save audio files permanently or delete them after transcription.
  • Preferences: We store your language preferences (app language and recording language) and audio file save preferences locally on your device.

Information Collected Automatically

  • Device Information: We generate a unique client identifier (UUID) that is stored securely on your device to manage your premium subscription.
  • Purchase Information: When you make in-app purchases, we collect transaction identifiers from Apple/Google to verify your premium subscription status. This information is sent to our backend server for subscription verification.
  • Usage Data: We do not collect analytics, usage statistics, or tracking data.

Information Sent to Our Servers

  • Transcriptions: When you use premium features, transcriptions of your recordings are sent to our backend server for AI-powered summarization and analysis. Audio files are never sent to our servers.
  • Subscription Data: Client identifiers and transaction IDs are sent to our backend server to verify and manage your premium subscription.
  • Language Preferences: Your app language preference may be sent to our backend to generate summaries in your preferred language.

How We Use Your Information

We use the information we collect to:

  • Provide Core Functionality: Process and transcribe your audio recordings using on-device Whisper AI models.
  • Generate Summaries: Use AI services (via our backend) to generate summaries, tags, and key points from your transcriptions when you have an active premium subscription.
  • Manage Subscriptions: Verify and manage your premium subscription status through our backend server.
  • Improve User Experience: Store your preferences to customize the app experience according to your language and audio saving preferences.

Data Storage and Security

Local Storage

All meeting data, transcriptions, and audio recordings are stored locally on your device.

We use secure storage mechanisms (iOS Keychain and Android Encrypted SharedPreferences) to protect sensitive information like authentication tokens and client identifiers.

Audio files are stored in your device's application documents directory.

Server Storage

Transcriptions sent for AI processing are processed by our backend server and third-party AI services (Groq).

We do not permanently store your transcriptions on our servers after processing is complete.

Subscription verification data (client IDs and transaction IDs) are stored on our backend server to manage your premium subscription.

Third-Party Services

We use the following third-party services:

  • Groq AI: Our backend server uses Groq AI services to generate summaries, tags, and key points from your transcriptions. Transcriptions are sent to Groq via our secure backend proxy.
  • Apple App Store / Google Play Store: For processing in-app purchases and subscription management.
  • Whisper AI (Local): We use the Whisper CoreML model that runs entirely on your device for audio transcription. No data is sent to Whisper's servers.

Data Sharing and Disclosure

We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following circumstances:

  • Service Providers: We share transcriptions with Groq AI (via our backend) to provide summarization features. This sharing is necessary to provide the premium features you have subscribed to.
  • Legal Requirements: We may disclose your information if required by law or in response to valid requests by public authorities.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

Your Rights and Choices

You have the following rights regarding your data:

  • Access: You can access all your meeting data, transcriptions, and audio files directly within the app.
  • Deletion: You can delete individual meetings and their associated audio files at any time. You can also delete all audio files through the app settings.
  • Audio Storage Control: You can choose whether to save audio files permanently or delete them after transcription through the app settings.
  • Subscription Management: You can manage your premium subscription through your Apple App Store or Google Play Store account settings.

Children's Privacy

Our App is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us so we can delete such information.

International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. These countries may have data protection laws that differ from those in your country. By using our App, you consent to the transfer of your information to these countries.

Data Retention

  • Local Data: Meeting data, transcriptions, and audio files are stored on your device until you delete them. You have full control over this data.
  • Server Data: Transcriptions sent for AI processing are not permanently stored on our servers. Subscription verification data is retained as long as necessary to manage your premium subscription.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy in the App and updating the "Last Updated" date. You are advised to review this Privacy Policy periodically for any changes.
